Privacy Policy

How MyExpatGo collects, uses and protects your information when you use our relocation planning platform.

1. Summary

MyExpatGo is an international relocation planning platform that helps you plan, price, compare and execute an international move. This policy explains what information we collect, why we use it, who else may receive it, and the choices and rights you have.

In plain English: you tell us about your move, and we use those details to build your plan, estimate costs and — only when you ask — pass a request to moving companies or other providers. You can browse most of the site without an account. We do not sell your personal information. You can view, change or delete what you have entered, or ask us to do it for you.

2. Who we are

MYEXPATGO OÜ, a company registered in Estonia (registration number 17593375), operates the MyExpatGo website and platform at www.myexpatgo.com and is the controller responsible for the information described in this policy.

We publish destination guides and relocation intelligence, provide planning and cost estimation tools, and connect people with moving companies and other relocation providers when they ask us to. We are not a moving company, and we do not provide legal, immigration, tax, customs, insurance or financial advice. Information on the platform is for planning purposes, and important requirements should be confirmed with the relevant authorities or a qualified professional.

3. Information we collect

Most of the information below is information you choose to give us. You can read our destination guides and use several of our tools without creating an account, and you decide how much detail to add to your move.

A. Account information

If you create a MyExpatGo account, we process:

  • Your name and email address.
  • Authentication information needed to sign you in, including where you choose to sign in with a third-party provider such as Google.
  • Basic profile information and account preferences you set.

B. Move profile and My Move information

My Move is your relocation workspace. You decide how much of this to fill in, and you can leave any field blank:

  • Origin country and city, and destination country, region or state, and city.
  • Planned move date or moving timeframe.
  • Household details you choose to share, such as number of adults and children, pets or a vehicle.
  • Employment or relocation context where you choose to provide it, for example whether an employer is supporting the move.
  • Housing preferences and shipping preferences.
  • Tasks, notes and other move-planning information you enter.

C. My Move Pro information

My Move Pro is a personalized planning workspace built on top of My Move. Where you have access to it, we process the information you create and store there, which may include:

  • Your personalized move plan, tasks and timeline, and their status.
  • Destination guidance that has been added to your plan, and document checklists generated from it.
  • Budget information, including planned, committed and paid amounts you record.
  • Housing requirements, inventory and volume information, and shipping information.
  • Records of service and provider requests you make through the platform, and your progress through your move.
  • Saved preferences and planning decisions.

D. Inventory & Volume Planner

If you use the Inventory & Volume Planner, you may enter:

  • Rooms, household inventory items and quantities.
  • Size or volume-related information about those items.
  • Replacement values and used or second-hand values, where you choose to record them.
  • Details of specific items, such as electronics, that you want to document for shipping, customs or insurance planning.

Volumes and values you enter or that the planner calculates are planning inputs. They are estimates for your own preparation and are not official valuations, surveys or customs declarations.

E. Documents and content you record

Today the platform provides document planning rather than document storage: you track which documents you need for your move and mark their status, and we do not offer a feature for uploading passports, visas or other files.

  • Document checklist entries, statuses and any notes you add about them.
  • Free-text notes anywhere on the platform, which may contain whatever you choose to write.

If we introduce document upload or storage in future, that feature will be optional, you will decide what you upload, and we will update this policy before it goes live. Please only record information you actually need for your relocation planning, and avoid entering sensitive details in free-text fields where they are not necessary.

F. Quote requests and provider enquiries

When you ask us to help you obtain quotes or arrange services, we process the information needed to pass on a meaningful request:

  • Your name, email address, phone number and preferred contact method.
  • Route, dates, home or shipment size, services required and any notes you add.
  • Requests for temporary or serviced accommodation, pet relocation, and other relocation services offered through the platform.
  • Where you are signed in, the connection between the request and your move, so you can track it in My Move.

G. Payments and product access

MyExpatGo does not currently sell digital products through the website, and no checkout is available. Where paid digital products are introduced, we expect to process:

  • Purchase and transaction information, including transaction identifiers and payment status.
  • Billing information and any tax-related information required for invoicing or record-keeping.
  • Product and entitlement information showing what you have access to and for how long.

Card details would be handled by the payment provider used at that time, not by MyExpatGo. We will name the payment provider in this policy before any paid product goes live.

H. Communications

  • Support emails and messages you send us, and our replies.
  • Waitlist and early-access sign-ups, such as for products marked coming soon.
  • Service and product notifications relating to your account or a request you made.
  • Marketing communications, where you have opted in.
  • Bug reports or feedback you submit, including the page you were on and basic technical details captured with the report.

I. Technical and usage information

  • IP address, browser and device information.
  • Pages viewed, actions taken and referring pages.
  • Server and application logs.
  • Analytics and advertising measurement data collected with cookies or similar technologies, subject to your cookie choices.
  • Information used to keep the platform secure and to detect misuse.

Sensitive information. We do not ask for special categories of information such as health, religion or biometric data, and our forms are not designed to collect them. Relocation planning can touch on personal circumstances, so free-text fields and document checklists may end up containing more than we need. Please share only what is necessary for your planning, and treat any information you record as information you are choosing to give us.

4. How we use information

We use the information described above to:

  • Provide the website and platform, and keep them working.
  • Create and maintain your account and sign you in.
  • Provide My Move and, where you have access, My Move Pro.
  • Personalize destination guidance, tasks, timelines, document checklists and suggested next actions to your move.
  • Produce moving cost estimates, budget guidance and volume calculations.
  • Handle quote requests and connect you with moving companies and other providers when you ask.
  • Process purchases and manage product access, where paid products are offered.
  • Respond to your support requests, feedback and bug reports.
  • Understand how the platform is used so we can improve it.
  • Keep the platform secure and prevent fraud, spam and abuse.
  • Comply with our legal obligations and handle legal claims.
  • Send marketing and product updates where you have asked to receive them.

Our legal grounds

Where data-protection law such as the GDPR applies, we rely in general terms on the following grounds: performing a contract with you or taking steps at your request (for example running your account and handling a quote request you submit); our legitimate interests in operating, securing and improving the platform; your consent where we ask for it, such as for marketing and non-essential cookies; and compliance with legal obligations. Where you have given consent, you can withdraw it at any time.

We collect only what is reasonably necessary for these purposes, and we do not sell your personal information.

5. Personalization and profiling

A core part of the platform is turning general destination information into guidance that fits your move. To do this we compare the details in your move profile — such as destination, timing, household, employment context, housing and shipping preferences — against our destination guidance, and show, hide or mark as not applicable the items that match. We use the same information to personalize tasks, timelines, document checklists, budget planning, housing and shipping guidance, and recommended next actions.

These are planning aids. They do not make legal, immigration, tax, insurance or other regulated decisions about you or on your behalf, and they do not produce any decision with a legal or similarly significant effect on you. We do not use automated decision-making of that kind. Guidance may be incomplete or out of date, and requirements change: please verify anything important with the relevant authority or a qualified professional before you act on it.

You control the inputs. You can leave profile questions unanswered, change your answers at any time, or delete your move, and the guidance you see will change accordingly.

6. AI and automated features

Some of our tools are described as AI-assisted, including move-size and volume estimation and the personalization described above. As the platform stands today, these features run on our own rules, calculations and published research: your move details are processed on our systems and are not sent to a third-party AI model provider to generate the result.

  • Estimation tools process what you enter about your home, inventory, route and timing to produce a volume figure, size classification and cost range.
  • Personalization processes your move profile to select which guidance, tasks and documents apply to you.
  • We may review information about how these tools are used, in aggregated or anonymized form, to improve their accuracy.

If we introduce features that send your information to a third-party AI provider, we will update this policy to say which provider is involved, what is sent, and what we know about whether that provider retains the information or uses it to train models. We will not present such a feature as active before it is.

Estimates are planning aids. Automated estimates and recommendations can be inaccurate and are not quotations, valuations or professional advice. Actual costs, volumes and requirements are confirmed by the relevant provider or authority.

7. Third parties and service providers

We share information only where it is needed, and we apply a data-minimization principle: a provider receives what is reasonably necessary to deliver the service you asked for, and no more.

Moving and relocation providers

International moving companies and relocation providers receive your enquiry details when you ask us to obtain quotes or arrange a service. We share what is reasonably necessary for them to respond.

Accommodation and other service partners

Temporary or serviced accommodation providers, pet relocation specialists and similar partners receive your details when you request that specific service. Some partners named on the site as planned or coming soon are not yet receiving any user information.

Technology providers

Providers that help us run the platform — hosting and cloud infrastructure, database and authentication, email delivery, analytics and advertising measurement, and error monitoring — process information on our behalf under their own privacy and security obligations.

Payment providers

If and when paid products are launched, a payment provider will process the payment and hold the card details. We will name that provider here before launch.

Advisers and authorities

Professional advisers such as accountants or lawyers, and legal or regulatory authorities where we are required or permitted by law to disclose information.

Some parts of the site link to third parties, including affiliate partners, as explained in our Affiliate Disclosure. When you follow such a link you leave MyExpatGo and the other company's privacy policy applies. Where the platform names a partner or integration as planned or coming soon, no user information is shared with that partner until the integration is live and this policy has been updated.

8. International transfers

Relocation is international by nature. Our users, the providers they ask us to contact, and the technology providers we rely on may be located in different countries, so your information may be transferred to and processed outside your own country — for example when a quote request goes to a moving company at your destination.

Where such a transfer is subject to data-protection law that requires it, we take steps to ensure appropriate safeguards are in place under applicable law. You can contact us at privacy@myexpatgo.com for information about the safeguards relevant to a specific transfer.

9. Data retention

We keep information only as long as we need it for the purposes described in this policy, or as long as the law requires. In practice this depends on the type of information:

Support and other communicationsKept for as long as needed to resolve your query and keep a reasonable record of it.
Analytics, advertising measurement and logsKept for a limited technical and statistical period, in line with the settings of the tools described in our Cookie Policy.
Marketing preferencesKept until you unsubscribe, plus a record of your opt-out so we can honour it going forward.

We review the information we hold periodically and delete or anonymize it when it is no longer needed. You can ask us to delete information sooner, subject to any records we are legally required to keep.

10. Security

We take measures that are reasonable and appropriate to the nature of the information we process to protect it against unauthorized access, loss, misuse and alteration. These include access controls that restrict move data to the account that created it, encrypted connections to the website, and using established infrastructure providers for hosting, databases and authentication.

No website or online service can be completely secure, and we cannot guarantee absolute security. Please use a strong, unique password, keep your sign-in details private, and tell us promptly at privacy@myexpatgo.com if you think your account has been compromised.

11. Your rights

Depending on where you live, you may have some or all of the following rights over your personal information. Some of these rights apply only in certain circumstances, and some are subject to legal exceptions.

Access

Ask what personal information we hold about you and get a copy.

Correction

Correct information that is inaccurate or incomplete.

Deletion

Ask us to delete your personal information.

Restriction and objection

Ask us to restrict certain processing, or object to it, including direct marketing.

Portability

Receive information you provided in a structured, machine-readable format, where this right applies.

Withdraw consent

Withdraw consent at any time where we rely on it, without affecting earlier lawful processing.

Marketing opt-out

Unsubscribe from marketing emails at any time using the link in the email or by contacting us.

Complain

Complain to your local data-protection or privacy authority if you believe your rights have been breached.

If you have an account, you can view and change much of your information directly in My Move. To exercise any of these rights, email privacy@myexpatgo.com. 12. Cookies and similar technologies

We use cookies and similar technologies for essential site operation, and — where you allow them — for analytics and advertising measurement. You can accept or refuse non-essential cookies when you first visit, and change your choice at any time using the cookie settings link in the site footer.

13. Children's privacy

MyExpatGo is intended for adults planning a relocation. It is not directed to children, and we do not knowingly collect personal information directly from children. Where the law of your country sets an age below which a child cannot consent to online services, we do not intend to provide our services to anyone below that age without the consent of a parent or guardian.

Adults planning a family move may record details about their household, such as the number of children moving with them. Please provide only what your planning actually needs. If you believe a child has provided us with personal information, contact privacy@myexpatgo.com and we will take steps to delete it.

14. Account and data deletion

You can ask us to delete your account at any time by emailing privacy@myexpatgo.com from the address on your account. When we action a deletion request:

  • Your account and profile information are deleted, and you will no longer be able to sign in.
  • Your My Move information — moves, tasks, document checklists, budgets and notes — is deleted.
  • Your My Move Pro workspace and any plan built in it are deleted, and any product access ends.
  • Your inventory and volume information, including item-level details, is deleted.
  • Anything you have stored or uploaded through the platform is deleted, subject to the exceptions below.
  • Quote and provider requests are removed from your account. Providers that already received an enquiry at your request hold it under their own privacy policies, so you may need to contact them directly.
  • Transaction and invoicing records required by accounting or tax law are retained for the period the law requires, along with anything we must keep to handle a legal claim or comply with another legal obligation.

Deletion is not always instantaneous. Copies may remain in routine backups for a limited period before those backups are overwritten, and in aggregated or anonymized statistics that can no longer identify you. If you would rather delete only part of your information, you can remove individual moves, inventory items, tasks and notes yourself in My Move.

15. Marketing communications

If you join a waitlist or early-access list, we will contact you about that product, including when it becomes available. If you opt in to marketing, we may send product updates, new destination guides and offers. You can unsubscribe at any time using the link in any marketing email or by contacting us, and we will act on it promptly.

Some messages are not marketing and cannot be opted out of while you use the service: for example account and security emails, replies to your enquiries, confirmations of a request you submitted, and messages necessary to deliver a product you have paid for. Where the law requires consent for marketing, we rely on your consent.

16. Changes to this policy

We may update this Privacy Policy as the platform develops or for legal reasons. When we do, we will update the “Last updated” date at the top of this page. If we make significant changes — for example introducing document uploads, paid products or a new category of provider — we will update this policy before that change goes live and, where appropriate, give you more prominent notice or contact you directly.
